Summary: The Customer Support Administrator interacts with sales/marketing/customer service teams to complete project requests and manage customer deduction functions.
Proficient use of business communication skills, both oral and written, to effectively perform administrative activities across departments is very important.
The role would also perform back-up support functions, as needed, such as with customer invoicing and deduction claim activities.
General office support for day-to-day operations of the business would also be part of their role.
This position requires great attention to detail & focus, strong written and oral communication skills, flexibility, discretion, good judgment, organization, and initiative.
They must be able to multitask, effectively prioritize, and take on new assignments as needed and provide general support as deemed necessary.
This position requires the ability to perform duties independently a majority of the time.
Must have the ability to self-start and perform weekly/monthly/quarterly recurring assigned tasks.
Primary Duties: Gain a basic understanding of sales materials for all product lines; process promotional material mailings.
Prepare and distribute a variety information to internal/external personnel.
Complete support requests from Sales Managers and Sales Representatives.
Provide administrative support for trade shows.
Prepare and electronically distribute monthly reports.
Create Purchase orders to process invoices for general office materials/services/fees.
Generate sales reports as requested from sales managers and/or marketing associates.
Complete contracts as needed.
Update databases and directories regularly, maintain digital & paper files.
Provide general sales & marketing support, e.

, copying, preparing mailings, sales meeting preparation materials, mock-ups, etc.
Research and dispute customer deductions.
Create freight claims in freight carrier portals for damaged shipments, gathering all required documents to successfully complete the dispute.
Pull and prepare shipping documents to use in customer disputes.
Navigate multiple online customer portals to pull relevant information for sales team & production requirements, backup documents and process disputes according to customer requirements.
Non-Essential Duties: Assist with miscellaneous sales and marketing projects.
Backup coverage of phone lines, assisting callers with questions regarding products, sales information, policies, etc.

Perform miscellaneous duties as requested by supervisor.
Experience: Associate’s Degree (AA) or equivalent from two-year college or technical school preferred Minimum two (2) years related administrative and accounting experience in similar business environment or training require Strong proficiency in Excel (creating formulas & functions, formatting, etc).
OR equivalent combination of education and experience, which provides the applicant with the knowledge, skills and abilities to perform the job
