Department Summary Campus Planning and Facilities Management (CPFM) is a vibrant department, which comprises five units, and approximately 270 employees: Facilities Services, Utilities & Energy, Campus Planning, Office of Sustainability, and Design & Construction.

Position Summary The Real Estate and Leasing Coordinator reports to the Real Estate and Leasing Manager within the Campus Planning Office and coordinates property management services for off-campus leased buildings for University purposes, with responsibilities for planning, organization, operation, and facilitation of all University programs occupying those leased spaces.
In addition, this position coordinates UO internal lease agreements and the real property tax exemption process.
This position serves as a resource to others regarding work, activities, and process related to these properties according to the specific terms and conditions of the University-signed leases.
This position also reads, understands, and informs others on lease documents, the implementation of the lease provisions, and the day-to-day facilitation of the operational requirements of the leases within those properties.
This position is a direct liaison between the University and the owners of the leased properties.
This position represents the department and University in daily interactions with internal and external customers as it relates to leased properties.
This position reports to and assists the Real Estate and Leasing Manager in a variety of activities related to real property acquisition, disposition, leasing, development, and real property taxes.
This position assists in the development of processes and is responsible for working independently to verify data ensure compliance related to the University’s real estate functions and legal requirements.
The incumbent must interpret, understand, comply, and inform internal users about the requirements of legal documents governing leased properties, as well as UO Real Estate lease/purchase and tenant services, policies, and processes; accurate and timely tracking responsibility for leased property data;; best practices in procedures for property management, owner requirements, and property resources; apply for and administer real property tax exemptions for University properties and usage; UO Banner Guide policies and procedures; AiM for monitoring University work orders relating to those properties; Campus Design Standards; University Purchasing and Contracting procedures and resources; and Oregon State commercial leasing laws, rules and regulations This position will, at times, assist with tasks for other Campus Planning teams.
Decisions may be made about the best method and materials necessary to perform tasks.
They may also include setting priorities, assessing needs, and responding to those needs.
Examples of decision-making duties include: • Data resource: Analyze, determine, and record the most effective resources for obtaining and interpreting data or other information needed to manage leased real estate.
• Departmental: Participate in department processes to develop and direct strategies for problematic issues.
• Organizational: Coordinate/facilitate confidential and time-sensitive activities related to real estate leasing duties, working directly with UO administration, staff, and tenants.
Work is reviewed directly by the supervisor to ensure it is performed efficiently, safely, and meets both expectations and applicable requirements.
A performance appraisal is conducted annually.
Driving: It is an essential requirement of this position to qualify for and maintain UO driver's certification eligibility, which includes maintaining an Oregon driver’s license throughout employment in this position.
Essential Personnel: This unit may provide essential services during times of emergencies and inclement weather.
This position may be required to fulfill essential services and functions during these times.
Minimum Requirements • Two years of technical or professional-level experience advising and/or instructing the public concerning specific programs or processes, monitoring programs, or performing participant reviews.
