0 FTE - Full-time salary-exempt Location: Work From Home - Eugene, OR Job Summary The Operations Coordinator plays a pivotal role in providing crucial support to the Managing Director and ensuring the efficient operation of the organization.
This role demands exceptional organizational skills and the ability to assist with various tasks, manage projects, and facilitate the seamless functioning of various operational aspects.
In this role, you will: Provide comprehensive administrative and operational support to the Director of Operations, assisting in strategic decision-making and overseeing day-to-day operations.
Oversee and guide employees or teams as assigned by the leadership team, ensuring tasks are completed efficiently and aligned with company objectives.
Perform administrative duties, including calendar management, meeting scheduling, and preparation of reports and presentations for the Director or other members of the leadership team.
Conduct in-person site visits on behalf of the Director when required.
This may involve assessing project progress or evaluating operational processes.
Assist in planning, executing, and monitoring various projects within the organization.
Ensure projects remain on track and meet deadlines.
Act as a liaison between the Director and other departments and external stakeholders, facilitating smooth information flow and keeping leadership informed.
Maintain and organize important documents, records, and files.
Ensure data integrity and accessibility.
Schedule and coordinate meetings, prepare agendas, and take minutes when necessary.
Follow up on action items to ensure completion.
Conduct research and analysis on various topics to support decision-making.
Prepare reports and presentations as needed.
Demonstrate outstanding organizational skills to effectively manage multiple tasks and priorities.
Collaborate with and support other members of the leadership team as needed, which may include assisting with their respective responsibilities, tasks, and projects.

Exceptional organizational and time-management skills for managing multiple tasks, projects, and responsibilities efficiently.

The ability to plan, execute, and monitor projects, ensuring they stay on track and meet objectives within specified timelines and budgets.

Ability to build/sustain collaborative working relationships with staff, supervisors, and others as appropriate Demonstrated social/situational problem-solving skills Skills in resolving conflicts and maintaining a positive working environment when disagreements or issues arise.
Ability to provide excellent customer service to internal and external stakeholders.
Ability to work independently and make decisions when required.
Must-Haves: Bachelor's degree in business administration, management, or a related field (preferred), or equivalent work experience.
Previous experience in a similar administrative or operations role with leadership responsibilities is preferred.
Proficiency in Google Suites and project management tools.
Identification as a peer with lived experience in youth/young adult-serving systems (i.
e.
mental health care, addiction/recovery, juvenile justice, Oregon Youth Authority, foster care) or other adversities.
