The service manager, dispatcher & inventory person plays a crucial role in ensuring the smooth operation of our service.
As a service manager, you will be responsible for coordinating and dispatching service technicians to customer locations, ensuring timely and efficient resolution of service requests.
Your excellent communication skills and ability to analyze situations will be essential in providing exceptional customer service.
*Duties* -Reliably show up on time.
- Receive and process service requests from customers via phone calls, email & walkups.
- Provide exceptional customer service and address customer inquiries or concerns.
- Follow decision tree questions and answers to correctly estimate customer requests.
- Dispatch service technicians to customer locations.
- Understand the technician's skillset, ability and availability to allocate jobs appropriately.
- Coordinate and schedule service appointments and work orders via calendar, emails & texts.
- Accurately enter customer and job details into appropriate systems.
- Review scheduled jobs for the day and update missing or disorganized information accurately.
- Look up parts required for the job, and verify the technician has parts on the van via the inventory system for the job - add part details to the job notes.
- Pull parts from the shop for jobs in advance to assist technicians on completing jobs.
Restock parts used in the field into vans from the shop.
- Deliver parts from shop to technicians in field.
- Track and manage inventory for restocking and orders.
- Do inventory cycle counts and reports.
- Add parts and items to order from vendors.
- Check in received shipments.
Input received items into inventory.
- Process RMA’s, pack and ship customer orders.
- Generate new items and barcodes.
Add Labels to bins and parts with labels.
- Collaborate & communicate effectively with other team members to ensure efficient service delivery to customers.
- Must be able to receive constructive feedback for improvement of skills, operations, and systems.
You are not the only team member performing all of these duties, you will just be the one performing the bulk of them.
Technicians help answer calls, schedule, and dispatch each other and are co-responsible for inventory in their vans.
The general manager assists with inventory and orders.
*Experience* - Previous experience in customer service, dispatching, scheduling, and coordinating technicians and jobs.
- Excellent typing & texting skills for efficient and accurate data entry.
- Proficient in data entry and using computer systems for tracking and managing inventory.
- Effective communication & attention to detail.
We understand you may not have extensive experience in all the duties requested.
Evaluations will be made based on total weighted skills and experience assessed.
Training will be provided for areas that need improvement.
*Schedule* We have two teams to cover service seven days a week, fourteen hours a day.
