General Statement of Duties The City of Eugene's Information Services Division is recruiting for a Senior Software Asset Coordinator Is continual improvement your jam? The City of Eugene is looking for a Senior Software Asset Coordinator to join our team and help drive the transformation of our software asset program.
As the Senior Software Asset Coordinator, you will actively manage the City’s software assets including planning, purchasing, monitoring, and administrating software contracts and licenses.
This role will also assist in creating procurement strategies that optimize technology spend across the organization.
The Senior Software Asset Coordinator reports directly to the IT Asset and Service Management (ITASM) Program Manager and is responsible for contributing to the growth and culture of the team while delivering both team based and individual goals.

Department/Division: Central Services / Information Services Division Work Location: Downtown Eugene Public Library, 100 W 10th Ave, Eugene, OR 97401 Must reside in the state of Oregon and be able to report onsite in Eugene, OR for work as needed.
Work Schedule: Monday - Friday, 8:00 AM - 5:00 PM with flexibility per business need.
: Examples of Duties Performed - Duties may include but are not limited to the following Strategy and Planning Establish (or refresh) policies and procedures relating software purchasing, licensing, and lifecycle management.
Explore opportunities for maximizing IT assets to achieve full efficiency and ROI from company resources.
Develop strategies for effective onboarding, integrating, and decommissioning of software assets.
Assist program manager in planning, evaluation, and recommendations for the asset management program.
May develop work plans and timelines for asset management projects.
Monitor and report on progress and outcomes.
Acquisition and Deployment Conduct and report software asset reconciliation and audit activities on a timely basis, including financial, licensing, warranty, and maintenance/support contract information.
Analyze warranties, maintenance agreements, and vendor contracts to provide best value and security to the organization.
Identify opportunities for volume purchasing to obtain price breaks.
Investigate equipment or software under consideration to determine ROI and total cost of ownership throughout product lifecycle.
Define purchasing recommendations that support business goals, in collaboration with senior management and stakeholders.
Monitor and analyze trends in company spending and inventory control in order to make recommendations for the future, and to identify areas for possible savings and/or asset optimization.
Provide appropriate data to Purchasing Team for contract administration.
Operational Tasks Track and maintain copies of software licenses, warranties, maintenance agreements, and vendor contracts, according to processes and procedures currently in place.
Recommend process improvements where appropriate.
Maintain configuration management database (CMDB) with information that is up to date, accurate, and auditable.
Maintain current software inventory.
Research industry best practices and compare against the organization’s practices in order to establish benchmarks for managing IT assets.
Effectively communicate asset management strategies to team members and stakeholders in a timely, clear and positive fashion.
Wherever possible, standardize software for supportability, security, and financial stewardship.
Generate, distribute, and review relevant management reports.
Investigate and resolve exceptions and accuracy issues of the CMDB.
Implement, coordinate, and administer a variety of projects and activities.
Coordinate with other departments and jurisdictions when needed to support division objectives.
Create documentation related to all aspects of the job.
Design and present formal program-related presentations including training sessions.
Foster culture of service excellence and cooperation across City of Eugene departments.
May schedule, oversee the work activities of, and provide training to staff in lower classifications, temporary clerical employees and/or volunteers.
Perform a variety of program administrative duties such as preparing, coordinating, and overseeing program agreements, contracts, leases, and RFP’s.
Perform other related duties as assigned.

MINIMUM QUALIFICATIONS: Experience: Four years of direct work experience in asset management, contract management, purchasing and procurement capacity, or logistics including strategy development and execution.
Two years in a service role supporting non-technical users.
Education/Training: Equivalent to an associate degree with major course work in finance, procurement, logistics, information technology, or a related field.
Certification: Certified Software Management Professional and/or Certified Hardware Asset Management Professional (e.
g.
, CAMP, CITAM, IAITAM) (preferred).
ITIL certification or ability to obtain within 6-9 months (required).
Possession of or ability to obtain, and maintain an appropriate, valid Oregon State driver's license.
Must Pass a Criminal Background Check The ideal candidate will have the following Knowledge, Skills, Abilities: Knowledge: Working knowledge of software licensing practices.
Familiarity and technical competence with asset management software and/or inventory-tracking systems.
Working knowledge of current IT technologies.
General knowledge or ability to learn public contract regulations and finance principles.
General knowledge of change management best practices or the ability to learn.
Abilities: Excellent organizational skills are essential.
Ability to evaluate and prioritize needs.
Ability to deal tactfully with vendors, suppliers, and contractors who provide a broad spectrum of products and services.
Experience at working both independently and in a team-oriented, collaborative environment is essential.
